Responsibilities

  • This position is responsible for a diversity of coordinating and support functions related to the operations, monitoring, and administration of UCLA/UCSF ACEs Aware Family Resilience Network (UCAAN).
  • In this capacity, you will be accountable for financial reporting, financial analysis, accounts payable, and purchasing, including maintaining the general ledger.
  • On an ongoing basis, you will prepare reports, compile data, and perform financial analysis to ensure alignment of budget targets with actual expenditures.
  • Including evaluating contract utilization, monitoring supply costs, and ensuring the timely processing of reimbursement requests and invoices.
  • Periodically, you may recommend modifications to workflow and operations, including filing systems, personnel databases, financial systems, contract monitoring tools, and project management methods.
  • You will also be responsible for executing purchasing agreements, including conducting product research and adding value through savvy negotiation of price and payment terms.

  • Demonstrated skill in performing basic accounting functions and financial reporting, including budget preparation for contracts and grants and clinical trials, financial controls and audits, and problem-solving
  • Demonstrated skill in supporting the preparation of clear and comprehensive financial reports for use by Principal Investigators, granting agencies, and the Department Administration
  • Working knowledge of PCs and spreadsheet and database programs such as MS Excel and MS Access
  • Analytical skills to review and interpret proposals, reports, and other documents and formulate appropriate responses and resolve problems.
  • Ability to retrieve and analyze online financial information and computer-generated reports.
  • Ability to establish and maintain an efficient financial reporting system to enable retrieval and dissemination of information and reports to the researchers, funding agencies, and research offices in a timely and effective manner
  • Skill in assembling narrative and fiscal information into a coherent written form so it will be understood by all personnel
  • Skill in writing grammatically correct and effective business correspondence such as memoranda, letters, and reports to funding agencies, principal investigators, and other research and staff personnel
  • Skill in reading documents in standard English text such as administrative policy manuals, correspondence, and reports
  • Typing and 10-key skills to prepare University forms, reports, correspondence, budgets, and other materials, with speed and accuracy and to accurately input data for financial/ statistical reports.
