Administrative Assistant

The Administrative Assistant will be responsible for general office tasks, follow-up of outstanding accounts receivables, and assisting with the management of the CRM system.

Job Type:

  • Full-time, permanent
  • On-site at our Montreal office


  • Handle daily incoming phone calls, transferring or taking messages as required
  • Process incoming mail, email, fax, and electronic filing
  • Management of information within the CRM system
  • Create leads/prospects as well as edit existing accounts as required
  • Process new accounts by forwarding new account forms, checking references, and sending final approval requests to the head office
  • Process RFQs and POs received from customers and outside sales force
  • Review quotes, revise as required, and send them to Regional Manager for approval
  • Assist customers with delivery confirmations
  • Forward invoices and account status updates to customers
  • Assist customers with online registration on the customer’s portal
  • Assist with sales activity
  • Handle bulk shipments to head office, save paperwork to CRM and file accordingly
  • Translate documents to french as needed


  • College Degree
  • Minimum of 3 years experience in a similar position
  • Fully bilingual in English and French, both written and verbal
  • Proficient knowledge of Microsoft Office Suite and CRM systems
  • Basic knowledge of accounting
  • Ability to multi-task and work autonomously
  • Extremely organized and excellent time management skills
  • Punctual and detail-oriented
  • Ability to deal with people and situations ethically, with honesty and integrity
